New features and changes in Discovery Accelerator 9.0

For more information on the features described below, see the supplied documentation.

Deduplication feature

This release of Discovery Accelerator provides a deduplication feature. The purpose of this feature is to minimize review, export, and production times by letting you identify and exclude similar items and duplicate items. Discovery Accelerator considers items to be similar when they have the same metadata properties, such as author display names, subjects, and number of attachments. Duplicate items have exactly the same content as well as the same metadata properties.

The option to identify and exclude duplicate items is available only in cases that you have enabled for analytics. This is not true of similar items, however, which you can identify and exclude in all cases.

The table below describes the main facilities that the deduplication feature provides.

Facility Description
Stack duplicate and similar items while reviewing.

In the Review pane of the Discovery Accelerator client, a Stack dropdown list lets you hide or show duplicate items and similar items in the review set.

Note that if you sort the items before you select an option in the Stack list then, after you have selected the Stack option, the items may no longer be in the original sort order. For example, this is the case if you first choose to sort the items by the Author column and then select one of the Stack options.

Bulk-mark duplicate items. By right-clicking an item in the Review pane of the Discovery Accelerator client, you can now apply a mark to all its duplicates. You can also add comments and apply tags to all the duplicate items at once.
Omit duplicate and similar items when exporting or producing. You can now choose to exclude duplicate items and similar items when you perform an export run or production run.
Report on the duplicate and similar items in an export run or production run.

If you choose to enable deduplication when you conduct an export run or production run, two new reports called "Export Run Duplicates" and "Production Run Duplicates" list the duplicate items that Discovery Accelerator found during the run.

Two existing reports contain additional information on duplicate and similar items:

  • The "Production Run" report has a field called "Number of Duplicate or Similar Items", which shows the number of items that Discovery Accelerator excluded from the production run because they are duplicates of or similar to other items.
  • The "Productions" report has a field called "Number of Duplicate or Similar Items", which shows the number of items in the production run or export run that are duplicates of or similar to other items in the run. An "Exclude Items" field shows the option for excluding duplicate or similar items that you selected when you defined the criteria for the production run or export run.
Configure deduplication

Two new configuration settings let you manage the deduplication feature. To access these settings, click the Configuration tab in the Discovery Accelerator client, and then click the Settings tab. The new configuration settings are as follows:

  • "Enable deduplication" in the General category. By default, with this setting checked, Discovery Accelerator deduplicates exported items and items that are in review.
  • "Save deduplication information" in the Diagnostics category. This setting specifies whether to generate deduplication information files in a DeduplicationInfo subfolder of your Discovery Accelerator program folder on the Discovery Accelerator server (typically, C:\Program Files\Enterprise Vault Business Accelerator\DeduplicationInfo). These deduplication information files, which are in plain text and XML format, may assist the Symantec Support team when dealing with deduplication-related problems. By default, this setting is unchecked; Discovery Accelerator does not create the files.

Availability of deduplication features in cases and folders that you created with an earlier version of Discovery Accelerator

The following deduplication features are available only in new cases and folders that you create with Discovery Accelerator 9.0. They are never available in old cases and folders that you created with an earlier version of Discovery Accelerator.

You can use the following deduplication features in old cases and folders after you upgrade to Discovery Accelerator 9.0. However, you must take some additional steps to make the features available.

In cases and folders where you did not enable analytics before you upgraded to Discovery Accelerator 9.0, you must enable analytics after you upgrade to make these features available. If you did enable analytics before you upgraded then, after you upgrade, you must disable analytics and then reenable it.

Enhancements to Custodian Manager

Custodian Manager includes the following enhancements, which are designed to improve performance when you are managing very large numbers of custodians, custodian groups, and custom custodian attributes:

Additional options for filtering search results

In the Discovery Accelerator client, the panes with which you can view the statuses of searches have been improved to enable more efficient handling of large archive lists. In particular, the panes now provide a number of filter options with which you can quickly analyze the search results. For example, you can now filter the archive list to show the top 2000 archives by hits, or all archives with a status of "Error".

These search status panes also provide the option to download a CSV file that lists the search details for all archives.

Support for Enterprise Vault Discovery Collector

Discovery Accelerator 9.0 supports Enterprise Vault Discovery Collector, an add-on for Enterprise Vault that addresses your eDiscovery needs during the identification, collection, and preservation phases of eDiscovery. Discovery Collector extends indexing and classification of data beyond the archive, enabling targeted collection and preservation of active content from laptops and desktops, network servers, storage systems, and application repositories. Discovery Collector allows active content collected from unmanaged content stores to be stored for preservation in Enterprise Vault, leveraging the storage benefits of Enterprise Vault and the discovery analysis and review capabilities of Discovery Accelerator.

Full documentation for Discovery Collector is included with the product.

Items archived from SharePoint servers are identified as FSA items [Ref E2779791]

When Enterprise Vault archives an item from a Microsoft SharePoint server, it does not populate the item's MsgType property with information to indicate that the item is a SharePoint item. Consequently, Discovery Accelerator identifies the item as a File System Archiving (FSA) item. The following table describes the issues that this can cause and suggests workarounds in most cases.

Issue Workaround

When you define the criteria for an export run or production run, you cannot limit its scope to SharePoint items only (the SharePoint check box in the Export Details pane is dimmed). After you have completed the run, the export or production report identifies the items as FSA items rather than SharePoint items.

Follow these steps to export or produce SharePoint items only:

  1. Customize the list of archives in which Discovery Accelerator is to search so that it includes SharePoint archives only.
  2. Create a new search that has the following features:

    • It has the same criteria as a previous search. To ensure that the search criteria does not change from the previous search, do not use a relative date range such as Today, Yesterday, or Last 7 days.
    • The option Include items already in review is checked.
  3. Run the search, and accept the results.
  4. Export or produce the items that the search has found.

The resulting items are still labeled as FSA items, but this procedure does let you isolate them from other, genuine FSA items.

An analytics rule in which one of the rule attributes is MessageType = SharePoint does not match any items. Similarly, in an advanced search of the items in a case review set, a search attribute of MessageType = SharePoint does not match any items.

Use the OriginalLocation attribute rather than the MessageType attribute to find SharePoint items. If you are unsure of the value to assign to the OriginalLocation attribute, contact your Enterprise Vault administrator for assistance.

In the Review pane of the Discovery Accelerator client, you cannot filter the items to show SharePoint items only.

In the item list in the Review pane, display the Original Location column and then use the contents of this column to identify the SharePoint items. If you are unsure how to interpret the contents of the column, contact your Enterprise Vault administrator for assistance.

The Message Type field in a Searches report identifies SharePoint items as FSA items.

None.
